Permit Application Coordinator
Role Summary:
The Permit Application Coordinator is responsible for coordinating, preparing, and managing permit applications for projects requiring approvals from local, state, and federal regulatory agencies. The position serves as a liaison between project managers, engineers, environmental scientists, surveyors, clients, and regulatory agencies to ensure permit applications are complete, accurate, and submitted in accordance with applicable regulations and agency requirements.
This role requires strong organizational skills, technical writing abilities, attention to detail, and an interest in environmental permitting and project development. Prior permitting experience is beneficial but not required, and training will be provided to candidates who demonstrate strong writing, communication, and organizational skills.

Key responsibilities include, but not necessarily limited to:

Prepare and assemble permit applications for submission to municipal, state, and federal agencies.

Coordinate permit application packages for projects involving coastal engineering, waterfront development, shoreline stabilization, dredging, marinas, floodplain management, wetlands, stormwater, and land development.

Review project plans, engineering drawings, surveys, and technical reports to assist project managers in identifying permitting requirements and application needs.

Develop permit narratives, project descriptions, and supporting documentation.

Complete agency-specific permit forms and ensure compliance with application requirements.

Track permit schedules, application deadlines, agency review periods, and regulatory milestones.

Coordinate with project managers and technical staff to obtain required application materials.

Prepare permit exhibits, figures, site plans, and supporting documentation for agency submissions.

Manage electronic and hard-copy permit submissions through agency portals and filing systems.

Communicate with regulatory agencies regarding application status, requests for additional information, and permit conditions.

Maintain permit tracking databases and project records.

Coordinate application signatures, filing fees, and supporting documentation.

Schedule meetings and coordinate communications with clients and regulatory agencies.

Organize project files and maintain permitting records.

Review agency comments and assist in the preparation of responses to Notices of Incomplete Application, Requests for Additional Information, and technical review comments.

Assist with preparation for public hearings, regulatory meetings, and stakeholder presentations.

Research applicable regulations, permitting pathways, and agency guidance documents.

Support permit compliance and permit close-out activities as required.
Qualifications & Skills Required:

Strong technical writing and document preparation skills

Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PDF software

Ability to manage multiple projects and deadlines simultaneously
